1. End Users and Providers
For participants of our conferences, we distinguish between end users and providers/suppliers.
- Providers offer solutions, products, and services related to the theme of the conference.
- End users make use of these solutions.
Participation is only possible with a ticket that matches the intended target group. Each registration is reviewed accordingly.
2. Tickets for End Users
Only end users can register with a Free End User Ticket or a Paid End User Ticket.
For all end user tickets, you must:
- be employed as an end user or work for an end-user organization;
- meet the minimum number of employees specified for the conference target group;
- be employed by an organisation in or near the country where the conference takes place;
- belong to the target audience of the conference.
Free End User Ticket
With a Free End User Ticket, it is mandatory to schedule and attend at least three one-on-one meetings.
Paid End User Ticket
With a Paid End User Ticket, you are exempt from mandatory one-to-one meetings. You may choose to schedule meetings voluntarily. In that case, only the necessary personal data required for that meeting will be shared.
3. Tickets for providers
Providers can participate with a Non-End User Ticket. A limited number of these tickets is available per conference.
The Non-End User Ticket is not intended as an alternative to a partnership. Activities reserved for partners are not permitted, including but not limited to:
- proactively initiating commercial conversations;
- wearing company-branded clothing or visible logos;
- presenting yourself as a partner of the conference;
- bringing or distributing promotional materials such as flyers or handouts.
In case of violations or complaints, we reserve the right to deny access to the conference immediately. The ticket fee remains payable, and future participation for you and your colleagues may be refused.
If you are a provider working within an end-user organisation and attending on behalf of that organisation, registration with an end-user ticket may be allowed, provided a business email address of that organisation is used.
4. Pricing
All prices listed are exluded of VAT. The ticket price will be displayed during registration.
5. Data
Registration is only possible using a personal business email address associated with the organisation you represent. General email addresses (such as Gmail) are not accepted.
All communication will be conducted via the provided business email address.
More information on the use of personal data can be found in our privacy statement:https://heliview.com/en/privacy-statement/
6. Relation code
A relationship code is not a discount code and does not entitle you to free participation in paid tickets. Participants must always meet the conditions of the selected ticket.
7. Review of your registration
After registering, you will receive a confirmation of receipt. This does not mean your registration has been approved.
Each registration is reviewed individually. Within two working days, you will receive an email regarding approval.
Participation is only confirmed after written approval. No rights can be derived from previous approvals. Each registration is assessed based on current conditions and information.
8. Certificate of attendance
If you attend the conference, you will receive a certificate of attendance. Depending on the event, this may include certification for CPE credits or SKO points.
9. Cancellation and no-show
Cancellation is only possible:
- via EventManager under “My Registration”;
- by email via [email protected].
To avoid ambiguity, cancellations via other channels (such as phone) will not be processed. You will always receive a confirmation by email.

Substitution is only valid after approval via email.
Reflection Period
For Paid End User Tickets and Non-End User Tickets, a reflection period applies in case of accidental registration.
The approval email will state the deadline for free cancellation. After this period, tickets are non-refundable, regardless of reason or attendance.
10. Payment Terms
For paid tickets, you must submit any invoice details immediately after registration to [email protected], such as:
- specific invoicing instructions (e.g. Peppol, alternative billing address, or credit card payment);
- a PO number if required (if not yet available, inform us immediately and provide it within 5 working days);
- a VAT number if your organization is based outside the Netherlands but within the EU.
If a PO number or VAT number is not provided on time, the invoice will be issued without a PO number and/or including VAT.
Participants remain responsible for providing this information, even in case of cancellation fees.
The payment term is 14 days.
11. Changes
The organisation reserves the right to make changes to the participation terms and conditions at any time.
